Conferences & Special Events Manager

Responsible for managing, organizing and overseeing all activities related to the successful execution of high quality conferences and special events from planning to implementation, as well as selling, overseeing and administering sponsorships. Customers: current and future members and firms/companies; conference speakers, attendees, sponsors, vendors, and committees; WSCPA staff and leadership team.

Essential Job Functions

Conferences (60%)

  • Manage and administer all aspects of conferences.
    • Select and book conference venues on appropriate dates.
      • Check industry filing dates for potential conflict: search competing conferences to ensure there is no date/topic conflict and confirm with committees.
    • Utilize committees and connections to determine content and speaker selection.
    • Grow current committees and create new committees as needed.
    • Ensure content conforms to state and national standards for continuing education.
    • Contact and confirm speakers’ availability; maintain contact as necessary to obtain session information and materials; travel needs.
    • Administer the conference planning and on-site process.
    • Add all conference details to the database, including dates, location, agenda, pricing and all other relevant information.
    • Manage all conference-related information in database, on server, and elsewhere as determined by the record retention policy of WSCPA.
    • Work with WSCPA marketing department to prepare conference materials.
    • Work with WSCPA technology department on webcast for conference.
    • Oversee and provide on-site support for all conferences.
    • Work with supervisor to ensure staff coverage for conferences.
    • Manage application process for continuing education credit when applicable.
    • Review registration numbers to ensure attendance goals are met; take appropriate action as needed.
    • Review and update conference budgets.
    • Work with CFO on budget issues.
    • Provide attendee feedback to all interested parties.
    • Responsible for handling member or conference attendee complaints.
    • Take a proactive role in planning short and long term business objectives.
  • Responsible for revamping, and creating new, conferences.
    • Evaluate existing conferences for overall success and suggest revisions as necessary.
    • Work with members and staff to develop new concepts/subject matter for conferences.
    • Review other CPA society’s conferences for ideas on topics/speakers/other.
    • Connect and work with other state societies to sell WSCPA conferences, co-sponsor conferences, or sell their conferences to WSCPA members.
    • Develop budgets to determine feasibility of new/revamped conferences.
  • Responsible for seeking out new speakers for conferences and seminars.

Special Events (10%)

  • Manage all aspects of events that are not seminars, conferences, or chapter related.
    • Includes Member Receptions, Annual Meeting and Board Retreat; other events as needed.
    • Select and book venues on appropriate dates.
      • Check industry filing dates for potential conflict.
    • Ensure CPE content conforms to state and national standards for continuing education if applicable.
    • Contact and confirm speakers’ availability; maintain contact as necessary to obtain session information and materials; travel needs.
    • Manage the planning and on-site process; oversee and provide on-site support.
    • Work with supervisor to ensure staff coverage for special events.
    • Add all special event details to the database.
    • Work with WSCPA marketing department to prepare any necessary materials.
    • Review and update budgets.

Sponsorship (20%)

  • Oversee and administer the conference sponsorship programs including, but not limited to:
    • Track, analyze, and maintain annual budgets and statistics.
    • Contact past sponsors for new opportunities.
    • Contact new sponsors as appropriate.
    • Invoice sponsors.
    • Ensure all required materials are received from sponsors (logos, ads, etc.).
    • Ensure sponsor logo link is correct and live on conference website.
    • Work with communications department for sponsor signage.
    • Develop new avenues for sponsors and sponsor benefits.
    • Coordinate with marketing team to develop materials promoting benefits of sponsorship.
    • Coordinate with member services department on shared sponsors.

Members Services Assistance (10%)

  • Answer phones/provide live chat services.
  • Update database as necessary.
  • Assist with other society-wide events as requested.
  • Provide administrative support to the membership and education departments as needed.

Qualifications

  • Minimum 2 years’ experience organizing and overseeing all activities related to the successful execution of conferences or other events.
  • Association or not-for-profit experience a plus.
  • High school graduate or equivalency.
  • Ability to handle multiple tasks, prioritize, adapt quickly to meet deadlines, and follow through on assignments with little or no direction.
  • Ability to work independently as well as part of a team.
  • Strong planning and organizational skills.
  • Strategic problem solving ability.
  • Detail oriented with excellent organizational, written, verbal, and interpersonal communication skills.
  • Experience with budgets and basic financial principles.
  • Customer service experience and strong customer service skills; solid telephone etiquette with the ability to assist customers on all levels.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in business writing, spelling, grammar and proofing.

Membership Administrator

This position is a key part of the member services team, providing excellent customer service to members and team members. Provides administrative support to the Membership team. Responsible for overseeing Connect community platform and member interaction on platform. Oversee relationships with affinity partners. Leads the dues renewal process. Ensures accurate member and member event information in database. Monitors membership webpages. Monitors, promotes and maintains Job board and Find a CPA sections.

Establish and maintain positive relationships with members, firms/companies, potential members, WSCPA staff and leadership, and partners.

Essential Job Functions

Volunteer Relations

  • Oversee Connect community platform. Ensure program is functioning correctly and members attached to correct groups. Work with CEO and CFO for development of Connect platform, including annual measurements and upgrades.
  • Create and update guidelines and best practices for Connect platform. Recommend changes in program if required, and ensure rules are being adhered to by participants.
  • Oversee interactions in Connect platform, find champions in key areas as needed to create engagement.
  • Oversee Resource Group/Committee activity; ensure meetings are scheduled and available to members in all geographies utilizing phone, web and in person options.
  • Ensure Resource Groups/committees are engaged in responding to white papers or legislation when asked, and follow WSCPA policies.
  • Work with Member Engagement Manager to maintain and update volunteer leader guide and training on an annual basis. Ensure guide is available and updated online as well.
  • Provide support to chapter and committee leaders to help locate and secure venues for events
  • Monitor and update chapter and committee website pages, and ensure chapter and committee information is correct in database. This includes, leadership, members, meetings and events.
  • Provide new membership lists to Chapter, Committee and Resource Group leadership as necessary (monthly). Ensure outreach to new member is made.
  • Connect chapters and committee with potential speakers for meetings. Work with membership department to obtain updated list of content from affinity partners.
  • Assist chapter and committee sponsors with marketing and attendance process. Work with Member Engagement Manager and Conference Manager on sponsorships.
  • Collaborates with the communications and membership team for creation of marketing materials as necessary, including chapter postcards, social media ad and email marketing.

Member Retention

  • Lead the annual dues renewal process; track progress, and recommend modifications if necessary to hit budgeted goals.
  • Responsible for integrity of current and ongoing collection of data from members and potential members. Update member and organization information in the database.
  • Onboard new members with membership materials and follow up on member inquiries by phone and email.
  • Assist Director of Membership in identifying and evaluating current and proposed member services and benefits. Monitor the administration of partner programs.
  • Leverage partner relationships to obtain magazine, web or live education content.
  • Collaborates with the communications and membership team to update or initiate marketing content for retention. Participate in design and development of retention materials. Help by articulating purpose, audience and outcomes.
  • Ensure membership webpages are updated at least on an annual basis, or as needed.
  • Responsible for promotion and maintenance of Job Board.
  • Responsible for billing, monitoring and promoting the Find a CPA program.
  • Serve on the member service team. Respond to members, prospective members, and public inquiries concerning WSCPA membership and other related concerns. Serve a contact for the Olark Chat Box, with ability to discuss all strategy areas with members: Connection and Community, Professional Development, and Advocacy.

Conferences & Special Events

  • Assist with conference and events’ support and administration.
  • Assist with sponsorship administration.
  • File and review for special events.
  • Work with Conference and Events Manager for day-of, onsite assistance.

Other

  • Back-up and assist other staff within the Membership and Education department as necessary.
  • Establish annual goals in accordance with society’s strategic measures.
  • Create, maintain, and update procedures associated with this position.
  • Represent WSCPA at community and WSCPA sponsored events.
  • Other duties as assigned.

Qualifications & Experience

  • Associate of Arts or Bachelor of Arts degree or equivalent combination of education and experience.
  • Association or not-for-profit experience a plus.
  • High school graduate or equivalency.
